Department SummaryUniversity Centers and Events (UCE) encompasses the University Union, Gateway Center and Coliseum. University Centers and Events (UCE), provides quality programs, services, and facilities that enhance the educational experience and create a community for students, faculty, staff, alumni, and guests.
Position OverviewThe Assistant Director serves in scheduling, supervising, planning, directing operations, billing, evaluating, and managing the Coliseum, and Gateway Center. The Assistant Director serves on the leadership team and provides assistance to the Director in managing all operations. Position supervises two full-time staff members.
Minimum QualificationsBachelor's Degree in related field and three years' of professional related experience; or any equivalent combination of education, training and experience.
Knowledge, Skills and AbilitiesKnowledge of University operations, policies, and procedures, as well as state regulatory guidelines and mandates.
Experience with computer software and applications, such as: Adobe Creative Suite, Microsoft Office, Event Management Software, etc.
Knowledge of fiscal management and ability to develop and manage event related budgets.
Excellent written and oral communication skills.
Ability to establish and maintain effective working relationships.
Knowledge of safety and security precautions appropriate to the work performed.
Ability to work on call during events, including nights and weekends.
Ability to work effectively in a high-stress people-oriented environment.
Preferred QualificationsFull-time staff supervision experience.
Large scale event Management Experience.
Arena experience.
Required License/Registration/Certifications Job Duties:Hire, evaluate, provide leadership, mentorship, training, and direction to assigned full-time employees and hourly event personnel, including assignment of job duties and work schedules in the most cost efficient manner possible as well as retaining the workforce needed for continuous operational success. Schedule, plan, and supervise special events in the Coliseum and Gateway Center, ensuring customer needs are met and fees are assessed accurately. Collaborate with university stakeholders and outside vendors to ensure University and House guidelines are followed for special events. Serve as a liaison with customers and the university community, ensuring that customer needs are met through operation of facilities for public events, delivering positive customer experience. Proficient in the use of MS Office software package as well as scheduling software and space design software. Works in harmony and fosters positive relations with others by practicing cooperation and understanding, initiating and/or engaging in team efforts, and establishing and maintaining open communication where active listening is practiced. Support, enforce, comply with, and stay current about University and Coliseum/Gateway policies, procedures, mission statement, and commitment to service. Attends appropriate event planning and departmental meetings and serves on committees, prepare reports, and works on special projects as assigned. Completes all work using safe work habits and methods to prevent injuries, using equipment properly and in the manner required or directed, keeping all equipment in good working order and following storage procedures, and reporting any unsafe acts or conditions to supervisor immediately. Aligns the direction, services, and performances of the area with the rest of the organization. Seeks to understand, advocate, and positively represent other programs and services in the department with customers. Leads team members to do the same.
