The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary
Reporting to the Chair, the Director of Administration and Finance is responsible for the organization and planning of the department's day-to-day academic and administrative activities, including financial management, personnel management, space management, and the provision of student and faculty services. The Director of Administration and Finance assumes overall responsibility for the department's administrative budget and supervision of the instructional budget and overall responsibility for oversight of all projects in the department, including the department's gift accounts and grants and accounts connected with any special programs. Works closely with the EVP A&S Office and partners with other offices throughout the University.
The
Department of East Asian Languages and Cultures (EALAC) has long been recognized as an international leader in the study of the histories, literature, cultures, religions, and languages of East Asia. EALAC’s coverage has historically comprised the cultures and languages of China, Japan, and Korea. In 2005, the department expanded its expertise to Tibetan Studies, which has become a major field of study at Columbia University, and in 2017, EALAC enlarged its East Asian scope to include the culture, history, and languages of Vietnam. Our language lecturers provide language instruction in modern Chinese, Japanese, Korean, Tibetan, and Vietnamese, and our faculty and lecturers provide instruction in the classical languages as well, in classical Chinese, classical Japanese, kanbun, mixed-script Korean, and classical Tibetan.
Responsibilities
Academic / Department Administration
- Responsible for hiring, training, and supervising the department's staff and working closely with the EVP A&S offices (HR Administration and EVP Finance and Budget Office) to process documentation and administer all faculty, staff, and student appointments.
- Oversee faculty search activities; explain University benefits and policies.
- Oversee all international hires, coordinating with the International Students and Scholars Office (ISSO) in visas, visa renewals, housing, and related paperwork, as well as assist faculty in immigration processing
- Collaborate with the Chair and Academic Affairs Office to complete faculty searches, tenure and academic research appointments, and other academic administration. Oversee the adjunct faculty appointment processing, ensuring timely submissions to the Academic Affairs Office.
- In close partnership with the Chair, review curricular planning, curriculum proposal, faculty teaching schedules and class times, and room assignments; engage in planning new program initiatives and direct their implementation.
- Oversee all aspects of admissions and fellowship/assistant awards, including contact with prospective students; advise students and oversee registration procedures.
- Oversee confidential student files and track student rankings, fellowship preferences, and awards.
- Oversee the administrative and human resources functions of the department, including assisting the Chair in determining personnel, personnel recognition, recommendations, and addressing employee concerns.
- Demonstrates day-to-day leadership and guidance to staff by proactively managing and providing clear, timely, and university-compliant solutions on various administrative and financial matters.
- Collaborates with University offices and departments to oversee logistics for smooth operation of the department, including facility needs, maintenance, repair, and minor construction as needed.
Finance and Budget
- Provide strategic financial planning and forecasting to the Chair by capturing and analyzing data to inform the department's financial decisions. Advise and perform budgetary analysis and modeling to forecast future financial needs/resources.
- Provide oversight and direct the department’s financial planning and accounting practices, maintain financial management reporting and control systems, monitor department expenses, and oversee compliance with university/affiliate policies, procedures, and regulations.
- Assume overall responsibility for the department's administrative budget, including department's gift projects, discretionary projects, and pre & post-award grants and projects connected with special programs.
- Responsible for conducting monthly project reconciliation. Oversee fellowship/assistant budget; responsible for preventing overdrafts; budget submission process and reports as needed; recommend a level of spending; resolve financial problems.
- Provide guidance and direction to the finance team and collaborate with the EVP A&S Office to complete all year-end transactions for the department. Trains, mentors, and acts as a coach for new finance employees to perform transactions.
- Manage the department budget.
- Perform special projects as needed.
- Supervise the Business Officer, Financial Assistant and Communications & Faculty Affairs Coordinator.
- Indirectly supervise the Undergraduate and Graduate Program Coordinators.
Minimum Qualifications
- Bachelor’s degree is required, with at least 4 years of relevant experience.
Preferred Qualifications
- Advanced degree highly preferred.
