Department Summary

University Centers and Events (UCE) encompasses the University Union, Gateway Center and Coliseum. University Centers and Events (UCE), provides quality programs, services, and facilities that enhance the educational experience and create a community for students, faculty, staff, alumni, and guests. We assist students to become good citizens of a global community, prepared to function in a diverse world.
 
Position Overview

This position is designed to provide day to day oversight over the operations of the Coliseum and Gateway Center, including, but not limited to, personnel matters, facility maintenance and upkeep, program deployment, record keeping, budget management, and revenue generation.

Minimum Qualifications

Bachelor's Degree in related field and five years' of professional related experience; or any equivalent combination of education, training and experience.

Knowledge, Skills and Abilities

Extensive knowledge of event planning, event management, and event implementation. Excellent written and oral communication skills. Excellent presentation skills. Ability to establish and maintain collaborative working relationships. Ability to supervise, train, and plan work of subordinates. Ability to work independently and as a member of a team. Skill in use of computer, Microsoft office and/or other software.

Preferred Qualifications

Masters Degree and five years event management and supervision experience. Strong verbal and written communication skills. Experience with event management and space diagram software. Excellent customer service skills. Experience and understanding of facilities management.

Required License/Registration/Certifications

Job Duties:

Daily Operations and Management:

1) Direct the day to day operation of the Coliseum and Gateway Center
2) Evaluate operations and work plans continually to determine most efficient method of operating and best method of ensuring a high level of customer satisfaction
3) Explore new and improved ways of accomplishing goals and revenue generation 4) Examine policy issues and strategic planning with a long-term perspective Sustainability Initiatives: Creates innovative ways to maintain and increase sustainability standards throughout the Coliseum and Gateway Center.

Event Management:

1) Utilize event management and diagram software to schedule space for events in Coliseum and Gateway Center;
2) Collaborate with departments such as UNT Police, parking, and dining to meet customer needs;
3) Prepare contracts for all events held by off campus groups and student organizations and obtain proper signatures;
4) Assure adequate risk assessment and response for scheduled events;
5) Ensure proper Certificates of Liability Insurance are on file and forward to Risk Management;
6) Perform yearly market surveys on products/pricing.

Ticketing and Concessions:

1) Develop positive relationships and arrange logistics for ticketing related to special events (i.e. athletic, concerts, speakers, etc.).
2) Collaborate with Concessions to ensure all events are on calendar, commissions are accurate, and reports are up to date and verified. Marketing: Marketing methods developed and implemented throughout the academic year.

Customer Relations:

1) Supports and practices the University's and departments commitment to customer service;
2) Develop and support collaborative relationships;
3) Serve as liaison to campus department, community and guests;
4) Meet with event sponsors, as needed, to arrange logistics of events and verify consistency with requests;
5) Provide accurate information to customers;
6) Be courteous and friendly to all visitors and assist with their needs as much as possible
7) Handle customer complaints as they occur. Shows sensitivity to and concern for the interests and needs of others; work to reduce conflict and establish positive relationships.

Institutional Effectiveness:

1) Seek to understand other programs in the department, including their services and measures;
2) Integrate executive direction into decisions and consultation;
3) Advocate for and positively represent other programs and services when working with customers and stakeholders.

Supervision:

1) Review applicants when openings occur; interview and select best candidate;
2) Effectively supervise staff through daily and weekly communication;
3) Schedule staff in most cost-effective and equitable manner; ensure staff stay within established guidelines regarding 1.5 comp time limitations and regulations;
4) Establish opportunities for staff to exchange ideas and offer input; encourage open communication;
5) Ensure that staffs from the Coliseum and Gateway Center are adequately trained and able to work efficiently in both facilities to handle custodial, setup, technical service, and customer services needs;
6) Hold staff accountable and address performance issues as they occur, promptly and professionally, within UNT guidelines.

Budgeting:

1) Assist with development of annual budgets for both facilities;
2) Conduct purchases and secure necessary bids;
3) Review monthly reports to ensure all entries have been applied accurately in financial software
4) Examine needs for the Coliseum and Gateway Center with a long-term perspective, generally five years. Determine objectives and sets priorities annually.

Safety:

1) Correctly uses proper products for the work area/situation and wears protective equipment/clothing as necessary;
2) Uses equipment properly, in the manner and method required to prevent injury;
3) Reports all unsafe personnel acts and unsafe physical conditions to supervisor as soon as aware;
4) Assigned equipment is kept in good working order and returned to proper area when finished with use;
5) Be trained in First Aid, CPR, and/or AED procedures.

Monday - Friday 8am -5pm, Flex for events
