Job Summary
The Senior Program Specialist’s (SPS) responsibilities include identifying program needs, working with team members to design and implement programs, and monitoring program success to ensure goals are being met. Provide advanced administrative and logistical support to the office of Global Engineering Programs and Partnerships (GEPP). The SPS assists GEPP’s leadership and program leads with program coordination, management, and promotion. They plan, oversee, implement, and improve specific programs within the unit to ensure program goals are met effectively and efficiently; they also engage with Purdue’s stakeholders, including faculty, staff, and students. The SPS independently performs functions to support various GEPP activities, such as coordinating and facilitating program events, campus talks, and seminars. This role coordinates with multiple departments to ensure the proper execution of the programs. Responsibilities include monitoring the progress of the programs, making necessary adjustments to ensure they stay on schedule and within budget; preparing and presenting program reports and updates to key stakeholders; evaluating the effectiveness of the programs and implementing improvements as necessary; designing and implementing new programs and initiatives; researching trends and gathering resources on new activities and programs; ensuring compliance with laws, regulations, and policies related to GEPP’s programs, such as regulations with study abroad programs; maintaining a knowledge base of current trends, developments, and advancements in the fields pertaining to GEPP’s efforts such as international programs and international development; managing program resources and budgets; assisting with recruitment efforts, addressing program-related questions and mentoring GEPP student workers and ambassadors; handling the resolution of program-related issues and conflicts; identifying opportunities to improve GEPP’s operation efficiency, including meeting program deadlines and handling confidential data. Our ideal candidate is an excellent communicator, able to work as part of a team, and has excellent project and program management skills. The SPS should be detail-oriented, have strong analytical skills, and be able to manage multiple tasks at the same time. This position reports to GEPP’s management team and works with them and the rest of the team to improve office operations, programs, and procedures.

What You'll Be Doing:
  • Provide advanced administrative and logistical support to the Office of Global Engineering Programs and Partnerships (GEPP). 
  • Monitor and identify opportunities to improve operational efficiency. 
  • Manage programs’ budgets, including analyzing and reconciling expenditures, filing paperwork, and processing invoices. 
  • Attend and represent GEPP at the College of Engineering (CoE) staff meetings and events.
  • Collaborate with program leads to plan, oversee, implement, and improve specific programs within the unit to ensure program goals are met effectively and efficiently. 
  • Examples of programs include short-term study abroad programs in various modalities (faculty-led, co-sponsored, direct enrollment) and activities related to the Shah Family Global Innovation Lab. 
  • For short-term study abroad: 
     i) develop budgets and reconcile expenses related to program administration,
     ii) research travel vendors and institutional partners, 
     iii) communicate with faculty to develop the programs, 
     iv) market, promote, and recruit students, 
     v) organize and distribute program information.
  • Marketing, promotion, communications, and program evaluation. 
  • Independently supports GEPP activities, such as coordinating and facilitating events, campus talks, and seminars. 
  • This role coordinates with multiple departments to ensure the proper execution of the programs—co-develop reports and marketing materials, both for digital communications and website and in-person events. 
  • Work with undergraduate student workers to maintain the social media campaign and special events such as the yearly study abroad photo contest.
  • Organize and distribute information related to GEPP activities within the team and with GEPP’s stakeholders. 
  • Communicate with various stakeholders, including faculty, staff, students, and international contacts. 
  • Maintain and update stakeholders database, including key international contacts. 
  • Serve as a resource for students, faculty, and staff for information about global engineering programs, including long and short-term study abroad, the global engineering studies minor, partnership development, and international development efforts housed in the Shah Family Global Innovation Lab.

  • Ability to balance interruptions, multiple and varied tasks; work well both independently and in a team environment.
