Position Summary
This position will coordinate logistical functions associated with planning, preparing, and delivering training and meetings for statewide and virtual events.

Duties
  • Coordinate logistical needs for in-person and virtual events, including scheduling events and trainers, ordering/printing materials, training material preparation, and managing/monitoring registration (scheduling, enrollments, rosters, waitlists, etc.).  
  • Facilitate communication with OKDHS workers and trainers for live events.  
  • Maintain office inventory, filing systems, and records.  Manage and monitor inventory, storage, and care of all training materials, equipment, and supplies for assigned events, projects, and programs.  
  • Communicate, coordinate, and collaborate regarding logistical processes with other NRCYS functional units, contracted providers/vendors, customers, and relevant University departments to support the state and national initiatives of the NRCYS.  
  • Plan and attend internal and external meetings including but not limited to NRCYS Staff Meetings, Contract/Project Meetings, and University meetings as needed.  
  • Communicate and collaborate with internal and external customers and trainers through meetings, telephone, and email correspondence.  
  • Assist in gathering data, preparing reports, and processing invoices.  
  • Write reports, professional correspondence, and other project-related documents.  
  • Uphold, safeguard, and engage in activities to support the University mission, NRCYS vision, mission, and values. 

Job Requirements---

Required Education: Bachelor's degree, AND:
  • 6 months of experience in early childhood, elementary, or professional programs. 

Equivalency/Substitution: Will accept 48 months of related experience in lieu of the bachelor's degree for a total of 54 months of related experience.
Skills:Proficient in Microsoft OfficeDetail oriented for accuracy of data and informationHighly organized and able to handle multiple projects and deadlinesAble to communicate well and build rapport quickly with students, faculty, and staff

Departmental Preferences:Preferred Education & ExperienceBachelor’s degree in a related field and 0-24 months of experience.  Will accept 48 months of related experience instead of the bachelor’s degree.

  • Strong computer skills and working knowledge of Microsoft Office Suite (Outlook, Excel, and Word).
  • Ability to schedule and facilitate virtual events using Zoom and Microsoft Teams.
  • Strong working knowledge of Adobe Acrobat and managing PDFs.Excellent interpersonal skills.
